Role Agent Terms

These terms cover the FaceMeet Role Agent: an AI assistant that belongs to a role in your company, not to the person in it. They apply to the company that activates a Role Agent ("you") and sit alongside the FaceMeet Terms of Service. If the two conflict on the Role Agent, these terms apply.

1. What the Role Agent does

Each Role Agent learns one role in your company: its responsibilities, procedures, decisions, documents and working relationships. It helps the person assigned to the role do the work, and it keeps the company-approved knowledge of the role when that person moves on, so the next person can be brought up to speed.

A Role Agent can be activated when you hire through FaceMeet or, by an administrator of your company account, for any existing role.

2. Your company account and the people in it

  • An owner or administrator manages your company account, invites members, assigns people to roles and ends assignments.
  • A role's manager approves what the Role Agent keeps as company knowledge.
  • An employee assigned to a role can use that role's agent while the assignment is open. Access ends the moment the assignment ends.
  • You are responsible for who you invite and for giving your employees the Employee Notice before they use a Role Agent.

3. Your data

You own the role knowledge, documents and approved decisions your company puts into a Role Agent ("Company Data"). FaceMeet processes Company Data only to provide the Role Agent to you, as set out in the Data Processing Addendum, which forms part of these terms. FaceMeet does not sell Company Data and does not use it to train AI models.

Company Data is kept separate for each company. One company's Role Agents cannot read another company's data.

4. What stays private to the employee

Not everything an employee says to a Role Agent becomes company knowledge. The employee's conversations with the agent and their private notes are not shown to the company and are deleted when the employee's assignment ends. Personal remarks are never turned into role knowledge. Only items the company approves are kept for the role. The Data Retention page lists every type of information and how long it is kept.

5. What the Role Agent may and may not do

  • It reads the role's approved knowledge and the documents shared with it, and it drafts work such as emails, plans and follow-up lists.
  • Where you connect other apps, such as email or a calendar, it may read them to help the assigned employee, and it takes an action in them only after that employee approves the specific action, or under a workflow your manager has approved.
  • It can message the assigned employee in Slack and, if they link a mobile number, by text, including a morning brief and approval requests.
  • It never makes payments, signs contracts, or makes hiring, firing, promotion, pay or other employment decisions.
  • It does not measure, score or rank how employees work.

You remain responsible for actions your employees approve and for checking the agent's drafts before relying on them. The Role Agent can be wrong; it shows where an answer comes from so it can be checked.

6. When someone leaves a role

When you end an assignment, the employee loses access at once, connections to that employee's own accounts are removed, and their private information is deleted. The role's approved knowledge stays with the role, which waits for its next assignee.

7. Connected apps

If you connect other apps to a Role Agent, FaceMeet uses a connection provider listed on the Subprocessors page to sign in to them on your behalf. Your use of those apps stays subject to their own terms. A connection owned by the role stays with the role; a connection to an employee's own account is removed when their assignment ends.

8. Plans, credits and boosts

Each Role Agent runs on a monthly plan that includes credits. Credits are used when the agent answers, speaks, takes an action in a connected app or reads a document.

  • Starter: $19.99 a month per Role Agent, including 1,000 credits.
  • Pro: $49.99 a month per Role Agent, including 3,000 credits.
  • Boosts: if a Role Agent runs out of credits, you can buy 1,000 more for $25, 2,000 for $50, and so on in steps of 1,000.

Plan credits renew each month and do not carry over. Boost credits remain available for 12 months from purchase. When credits run out and no boost is bought, the agent can still read and draft from the role's knowledge until the next month begins, but takes no actions in connected apps.

Plans renew monthly until canceled. A cancellation takes effect at the end of the current month. Payments are taken by card through Stripe. Used credits are not refundable; see the Payment Terms and Refund Policy. We may change prices with at least 30 days' notice; a change never applies to a period you have already paid for.

9. Acceptable use

Do not put health records, payment card numbers, government identity numbers or other specially regulated information into a Role Agent. FaceMeet does not offer the Role Agent for regulated health information. Do not use a Role Agent to monitor employees, to make employment decisions, or for anything unlawful.

10. Ending your company account

You can close your company account at any time. For 30 days after closing you can ask us for an export of your Company Data. After that, FaceMeet deletes it within 30 days, except where the law requires us to keep it or a legal hold you have placed is in effect.

11. Liability

The Role Agent is provided as it is offered, without warranties beyond those the law requires. FaceMeet's total liability for any claim relating to the Role Agent is limited to the fees you paid for it in the 12 months before the claim.

12. Changes and contact

We may update these terms and will tell company owners at least 30 days before a material change takes effect. Questions: hello@facemeet.app.
