FaceMeet policies
Last updated: October 2026
This page sets out how long FaceMeet keeps each type of information in a Role Agent. A company may choose shorter periods for its own account.
| Information | Who can see it | How long it is kept |
|---|---|---|
| Conversations with the Role Agent | The employee | Until the assignment ends; personal remarks are never turned into role knowledge |
| Voice audio | No one | Not kept after the conversation; only the text is kept, under the rules in this table |
| Private notes | The employee | Until the employee deletes them or the assignment ends |
| Temporary drafts | The employee | Until they expire or the assignment ends, and no longer than 30 days |
| Suggestions awaiting approval | The employee and the manager | Until approved or rejected; removed after 90 days if no one reviews them |
| Approved role knowledge and documents | Everyone assigned to the role, its manager and company administrators | For as long as the role exists, then deleted within 30 days of the role being removed or the company account closing |
| Restricted company information | Only the people the company names | As for approved role knowledge |
| Linked mobile number and Slack account | The employee | Until the employee removes them or the account is deleted; texts stop at once after STOP |
| Actions waiting for approval, and their results | The employee, the manager and company administrators | Pending actions expire after 48 hours; records of approved actions are kept with the audit log |
| Connections to an employee's own accounts | The employee | Removed when the assignment ends |
| Connections owned by the role | The role | Until the company disconnects them |
| Audit log | Company administrators, and FaceMeet for security | For as long as the company account is open, plus 12 months. It records that something happened, never the content of private information |
If a company needs to preserve information because of a legal claim or investigation, it can place a legal hold on a role or an employee. While a hold is in place, the information it covers is kept instead of being deleted, and it is deleted on the usual schedule once the hold is released.
Where a law requires FaceMeet or the company to keep information for longer, it is kept only for that purpose and that period.
